Picture the 14th of February in a busy restaurant. Two sittings, every table for two booked out, a set menu running like clockwork, and a kitchen that has not stopped since six. By half past ten the last couple pays the bill, says the meal was lovely, and walks out into the night. You will probably never hear from them again.

That is the quiet waste of Valentine's Day. It is one of the busiest restaurant occasions in the UK calendar. OpenTable reported UK Valentine's dining up 27 percent year on year in 2025, with around 49 percent of Brits planning to dine out. The next one, Valentine's Day 2027, falls on Sunday 14 February, and this playbook is written for it. You spend weeks preparing for one of your best nights of trade, you fill the room with new faces, and then you let almost all of them leave as strangers.

This guide fixes that. The plan is simple: use guest WiFi to capture couples while they are sitting at the table, run a pre-booking campaign to fill the set menu in advance, and follow up afterwards to book the next occasion. None of it requires a marketing team. Most of it can be set up once and left to run.

Why Valentine's is worth the effort

The numbers are firmly on your side. OpenTable also reported a 43 percent increase in Valentine's reservations from 2024 to 2025. Separate Dojo data, reported by Restaurant Online in February 2026, put UK Valentine's bookings up roughly 30 percent year on year, with tables for two making up 83 percent of all bookings, tables for four up 65 percent, and tables for eight up 133 percent. Dojo described the day as "firmly back as a major moment for UK restaurants." Those larger-table figures matter, because Valentine's is no longer only couples: friend groups and "Galentine's" parties are booking too.

Here is the point most operators miss. A packed Valentine's service is not the prize. The prize is the marketing list you build from it. In CaptiFi's venue data, 55% of the new devices that joined CaptiFi guest WiFi in September 2026 signed in. Fill the room with first-time couples on your busiest night, capture even half of them, and you finish the 15th of February with a list of local diners you can invite back for Mother's Day, anniversaries, birthdays and quiet Tuesday nights for the rest of the year.

The meal pays for tonight. The email list pays for the rest of the year. Valentine's gives you both in a single sitting if you set it up first.

Fill the set menu before the night

The best Valentine's campaigns do not start on the 14th. They start a month earlier, with the list you already have. If you have been capturing guest emails through the year, you are sitting on a warm audience of people who have already eaten with you and chosen to hear from you. That is who books your set menu first.

Send a pre-booking email two to three weeks out. Keep it short and specific: the set menu, the price per head, the sittings available (say 6pm and 8.30pm), and one clear booking link. A second nudge a week later to anyone who opened but did not book usually clears the remaining tables. If you do not have a list yet, this is exactly the gap our guide on how a restaurant guest profile shows spend per guest and lapsed regulars is built to close, and the sooner you start the bigger your audience by next February.

A few things to get right in the pre-booking run:

  • Lead with the menu, not the date. People know when Valentine's is. They want to know what they will eat and what it costs.
  • Name the sittings. Telling guests the early and late slots manages expectations before they arrive and protects your table turns.
  • Sell out the early sitting on purpose. A "6pm nearly full, a few 8.30 tables left" line creates honest urgency without inventing scarcity.
  • Take a deposit. Valentine's no-shows hurt more than any other night. A small deposit at booking dramatically cuts them.

For the mechanics of writing emails that actually get opened and booked, our guest email marketing guide walks through subject lines, timing and calls to action.

Capture couples during the meal

The meal itself is your single best capture moment of the year. Two people, sat across a table for two or three hours, reaching for their phones between courses to take a photo of the food or check the time. That is the moment your guest WiFi earns its keep.

When a guest connects, here is what happens:

  1. They land on a branded splash page with your restaurant name and a warm Valentine's welcome line.
  2. They enter their email, and marketing consent is asked separately from getting onto the WiFi, as UK GDPR and PECR require: on CaptiFi's standard sign-in page it is its own question after they tap Connect, with Accept and Reject buttons.
  3. They are online in seconds, and you have a new local subscriber attached to a real visit.

CaptiFi is a guest WiFi marketing platform, not hardware. It layers a branded portal, email capture and review automation on top of the network you already run. It works as an external captive portal on UniFi, TP-Link Omada, Cisco Meraki, Aruba, MikroTik, Ruckus, Fortinet and DrayTek gear, authorising guests through the controller or gateway API. If you would rather not touch network settings at all, CaptiFi sends its own plug-and-play device, on a refundable deposit. Either way, the splash page is yours to brand for the season. See how to capture emails from guest WiFi for the full picture, and keep your consent notice in place as our GDPR compliance setup does by default.

One detail that pays off on a busy night: use the splash page itself to set the scene. A line like "Welcome, and happy Valentine's. Tonight's set menu is at your table, last food orders 9.45pm" turns the connect moment into a soft house announcement. Free, captive, and seen by almost everyone in the room.

The follow-up that books the next occasion

This is where most restaurants leave money on the table. You captured a couple on the 14th. They had a lovely night. Now what? If the answer is nothing, you wasted the capture.

An automated follow-up sequence does the work for you. A welcome email goes out within a day of the visit while the memory is fresh; because it arrives so soon after a real visit, it is opened far more often than a typical promotional send. Then, weeks later, an occasion-based nudge: "Enjoyed Valentine's? Mother's Day is Sunday 7 March, our set menu is now booking." UK Mothering Sunday always falls on the fourth Sunday in Lent, which lands on Sunday 7 March in 2027 (it was 15 March in 2026), so you can schedule that follow-up the moment you read this. Our Mother's Day marketing guide covers that occasion in full.

Win-back emails to lapsed diners are the quiet workhorse here. A couple who came for Valentine's and got a well-timed "we have not seen you in a while, here is a reason to come back" email in April is exactly the trade you want on a slow midweek night. The automated marketing tools set these sequences to run on their own, and our welcome email sequence guide shows how to structure the first few messages.

Being honest about table turns and capacity

A word of caution, because Valentine's is not like a normal Friday. Most of your tables are twos, couples linger over a set menu, and you cannot turn the room as fast as you would on a quiet night. That is the trade-off: high demand, but slower table turns and a hard ceiling on covers.

So do not treat your captured list as a way to cram more people in on the night itself. You will only disappoint guests and stress your kitchen. The list is for everything around the 14th, not the 14th itself:

  • Use it to fill the shoulder dates. Plenty of couples want a "Valentine's dinner" without the squeeze. Email a "celebrate Valentine's on the 13th or 15th, same menu, more relaxed" offer and spread the demand.
  • Use it to lock in deposits. A confirmed, deposit-backed booking is worth more than a walk-in hope on your busiest night.
  • Use it to book the next visit. The real growth is the return trade in March, April and beyond, not squeezing one more cover into a full room.

Honest capacity planning is what separates a Valentine's that builds your reputation from one that earns one-star reviews about a rushed table and a cold main.

Set up Valentine's 2027 in the CaptiFi Planner

The calendar helps you this time. Valentine's Day 2027 is a Sunday, so the Saturday before (13 February) is likely to carry much of the demand, and Monday 15 February is the obvious relaxed alternative for couples who would rather avoid the squeeze. Mothering Sunday follows three weeks later, on 7 March. All of that can be queued in one sitting in the Planner, under Insights on my.captifi.io, a few weeks out.

  1. Add the design first. The template gallery has a Valentine's design among its 16 seasonal ones (rose on deep pink, with its own welcome title and button label), drawn with your logo and venue name. Add it to the venue's design library, then edit the wording to name your set menu and sittings.
  2. In the Planner, click Saturday 13 February (or Plan an event), call it "Valentine's 2027" and choose the venue. Switch on Swap splash page and pick the Valentine's design from the library. To cover the whole weekend, set Repeat to Weekly, pick Saturday, Sunday and Monday, and set Repeat until to 15 February. Use your trading hours for the window.
  3. Switch on a message strip for the same weekend, up to 200 characters in your brand colours: "Now booking: our Mothering Sunday set menu, Sunday 7 March." It sits on top of the Valentine's design, so guests who connect that weekend see it straight away.
  4. Switch on Tag guests who connect, with the tag Valentines 2027. Nothing changes for the guest; the tag lands on their profile, and they keep it after the window ends.
  5. Leave the WiFi name alone. Renaming the network drops every connected device, which is the last thing you want with every table full.

Each automation applies itself at its start time and reverts at its end, so the normal splash page is back on Tuesday morning without anyone remembering to do it. On a day with something scheduled, the account owner gets an email at 8am venue time listing what will run, and an alert if anything fails to apply or revert.

The tag is what makes the follow-up easy. A few days after the weekend, open Marketing, then Audiences, then Segments, and make a new segment with one condition: Guest tag contains Valentines 2027 (it has to match the tag exactly, capitals and spaces included). That segment is then an audience in the campaign wizard, so the Mothering Sunday invitation goes to exactly the couples who were in, and only to those who agreed to hear from you. If you take bookings through CaptiFi's Table Bookings (on Growth and above), deposits are paid online into your own Stripe account with no CaptiFi fee, and bookers who join your WiFi are marked as arrived. The seasonal WiFi automations guide covers the Planner in full.

A four-week timeline

You do not need to do everything at once. Here is a realistic run-up that fits around actual service.

QuandWhat to do
4 weeks outGet guest WiFi capture live if it is not already. Brand the splash page. Finalise the set menu and price.
3 weeks outSend the pre-booking email to your existing list. Lead with the menu, name the sittings, take deposits.
2 weeks outSend a reminder to non-bookers. Offer the 13th and 15th as relaxed alternatives to spread demand.
1 week outConfirm bookings, brief the team on the timeline, and queue the Valentine's design, message strip and tag in the Planner.
The nightCapture connecting couples. The Planner swaps the splash page and tags everyone who connects.
Next dayWelcome emails have already gone out. Review requests follow 24 hours after each guest connected (the default), for guests who agreed to hear from you and have not been asked at your venue in the last 90 days.
Weeks afterSend the Mothering Sunday invitation to the Valentines 2027 segment. Win-back emails run on their own.

The full table of campaigns

Put together, the Valentine's playbook is five small campaigns, not one big push. Each does one job.

The beauty of running it this way is that four of the five can be scheduled or automated before the night even arrives. You set them once and your only job on the 14th is to run a great service. For the wider strategy behind always-on capture and follow-up, our WiFi marketing overview and the restaurant solutions page tie it all together.

Turn a good night into reviews

Valentine's is a romantic, high-spend, special-occasion night, which means guests are unusually willing to say something nice about it. That is review gold if you ask at the right moment. With review automation switched on, guests who connected and agreed to hear from you are asked to rate the evening the next day (24 hours after connecting by default), while the memory is still warm. Regulars already asked at your venue in the last 90 days are left out. A rating at or above your minimum sends the guest on to Google, and a lower one opens a private feedback form that still shows your public review links.

This matters beyond the warm glow. Google states local ranking is based on relevance, distance and prominence, and that prominence is partly built on "how many reviews you have," noting that "more reviews and positive ratings can help your business's local ranking." Our guide on turning WiFi reviews into local SEO goes deeper.

Pull it together and Valentine's stops being a one-night sprint. It becomes the weekend that fills your set menu, grows your list and gives you a tagged audience for Mothering Sunday and the rest of the year. You can have the whole thing running in about 5 minutes with the CaptiFi device, under an hour on your own controller, from $69/mo on a 30-day free trial.

Questions fréquemment posées

Quick answers to the most common questions about this topic.

How busy is Valentine's Day really for UK restaurants?
It is one of the busiest restaurant occasions of the year. OpenTable reported UK Valentine's dining up 27 percent year on year in 2025, a 43 percent rise in reservations from 2024 to 2025, and around 49 percent of Brits planning to dine out. The next Valentine's Day falls on Sunday 14 February 2027. Separate Dojo data reported by Restaurant Online in February 2026 put bookings up roughly 30 percent year on year, with 83 percent of those being tables for two.
How does guest WiFi help on Valentine's Day if the restaurant is already full?
The value is not cramming more covers in on the night, which you cannot do with slow-turning tables for two. It is capturing the couples who do dine with you as email subscribers, then bringing them back afterwards. A branded splash page captures their email and marketing consent while they wait between courses, and automated follow-ups invite them back for Mother's Day, birthdays and quiet midweek nights. 55% of the new devices that joined CaptiFi guest WiFi in September 2026 signed in.
When should I start my Valentine's marketing campaign?
About four weeks out. Get guest WiFi capture live and brand the splash page first. Send a set-menu pre-booking email to your existing list around three weeks out, with a reminder to non-bookers at two weeks. Confirm bookings and brief the team in the final week. The on-night capture, welcome email and later follow-ups can all be scheduled or automated in advance, so your only job on the 14th is running a great service.
Should I take deposits for Valentine's bookings?
Yes. No-shows hurt more on Valentine's than almost any other night because demand is high, tables are mostly twos, and a missing booking is hard to refill late. A small deposit taken at the point of booking dramatically cuts no-shows and protects one of your best nights of trade. Mention it clearly in your pre-booking email so there are no surprises when guests arrive.
Does CaptiFi work with my existing restaurant network?
Almost certainly. CaptiFi is a guest WiFi marketing platform, not hardware. It runs as an external captive portal on top of your existing kit, authorising guests through the controller or gateway API, or through CaptiFi's own RADIUS server where the controller works that way, so you never run a RADIUS server yourself. Verified support covers UniFi, TP-Link Omada, Cisco Meraki, Aruba, MikroTik, Ruckus, Fortinet and DrayTek. If you would rather not touch network settings, CaptiFi sends its own plug-and-play device on a refundable deposit of $99.
Is capturing guest emails on WiFi GDPR compliant?
Yes, when done correctly, and CaptiFi sets it up that way by default. Under UK GDPR and PECR the marketing opt-in must be unbundled, meaning the question about receiving emails is kept separate from getting onto the WiFi. Guests can use the network without opting in to marketing, and only those who actively consent are added to your list. A clear privacy notice on the splash page covers what you collect and why.
What follow-up emails should I send after Valentine's?
Start with a welcome email within a day of the visit while the memory is fresh; because it arrives so soon after the visit, it is opened far more often than a typical marketing send. Then schedule occasion-based nudges, the obvious next one being Mother's Day, which falls on Sunday 7 March in 2027. Add win-back emails to anyone who has not returned after a few weeks. Win-back emails give diners who have not returned a concrete reason to come back, so these messages are well worth automating.
Can a busy Valentine's night help my Google ranking?
Indirectly, yes. Google says local ranking is based on relevance, distance and prominence, and that prominence is partly built on how many reviews you have, with more reviews and positive ratings able to help local ranking. A special-occasion night like Valentine's makes guests unusually willing to leave a positive review, so prompting them at the right moment can produce a fresh batch of five-star reviews.
How much does CaptiFi cost and is there a trial?
CaptiFi Essentials starts from $69/mo per location, and there is a 30-day free trial, $0 today. You can get a branded splash page and email capture running in about 5 minutes with the CaptiFi device, or under an hour on your own controller, with automated welcome and win-back emails and Google review automation from the Essentials plan up. That gives you enough time to set up capture before Valentine's, run the night, and see the list and reviews build before you decide to continue.
How do I schedule a Valentine's splash page and reach the same guests again?
First add the Valentine's design from the template gallery to the venue's design library. Then, in the CaptiFi Planner under Insights, plan an event on Saturday 13 February 2027, choose the venue, switch on Swap splash page and pick that design, repeating weekly on Saturday, Sunday and Monday until 15 February. For the same window, add a message strip inviting bookings for Mothering Sunday (7 March) and a tag for everyone who connects. Each automation reverts on its own at the end of its window. Afterwards, build a segment where Guest tag contains your tag and send the Mothering Sunday invitation to it; only guests who agreed to hear from you are emailed.
