One Dashboard for All Your Locations

Whether you manage 2 sites or 200, CaptiFi gives you one login, one guest database and one view of performance across every location. Switch venue with a picker, compare locations side by side, and let each site keep its own splash design, timezone and offers.

  • multi-location WiFi management
  • hotel group guest WiFi
  • franchise marketing dashboard
  • group analytics

One login and one guest database across every location, with a venue picker on every page

Compare locations side by side in the Top Venues ranking, or view them all at once

Copy a splash design from one venue to another instead of rebuilding it

Each venue keeps its own timezone, so busiest-hour and footfall read in local time

Per-location offers, branding and WiFi settings when they need to differ

No cap on locations from Essentials up: one is included on every plan, extras are a flat monthly fee

Offline alerts per venue: choose which logins hear when its access points or CaptiFi devices go offline, add up to ten extra email addresses with no login, or switch the venue's alerts off

Pre-authorised devices per venue, so printers, card machines, TVs and casting devices skip the sign-in page, on CaptiFi access points and UniFi controllers

What is Multi-Venue Management?

Multi-Venue Management gives an operator one login and one guest database across every location, whether that is two sites or 200, with each venue keeping its own splash design, timezone and offers. Any plan from Essentials up can add venues and switch between them with a picker. Pro adds the group view: compare locations side by side, see performance across every location at once, apply global splash templates and drill into a single site. For chains, franchises and hospitality groups.

The problem

Run more than one venue and the guest WiFi soon drifts apart: a different login page at each site, separate guest lists, and no easy way to see how one location is doing against another.

The CaptiFi answer

CaptiFi's multi-venue dashboard lets you manage all locations from one place. Copy a splash design from one venue to another, compare cross-location metrics, and drill down into individual site performance.

Who it is for

  • Hotel and pub groups with a head office
  • Franchise operators with a shared brand
  • Managed service providers running venues for clients
  • Anyone logging into five dashboards for one report

Compare locations without exporting anything

Top Venues ranks your sites against each other for whatever date range you are looking at, so the question "which of these is actually working" has an answer on screen rather than in a spreadsheet. Every other report on the analytics page can be read either across all venues at once or for one venue at a time, using the picker in the top bar.

  • Guest volume per venue, ranked, for any date range
  • Switch between all venues and a single site anywhere

What is multi-venue guest WiFi management?

Multi-venue management means running the guest WiFi for several locations from one login: one guest database, one set of campaigns, one place to compare how each site is doing, while each site keeps the parts that genuinely differ. In CaptiFi every page carries a venue picker, so you move between one site and all of them without logging out or switching accounts, and a guest who visits two of your locations stays one person with two visits rather than becoming two contacts.

How many locations can one account hold?

From Essentials up there is no cap. One location is included on every plan, and on Essentials and above each additional location is a flat monthly fee, charged in your own currency. Adding a venue reconciles your subscription immediately, and so does removing one, so you are never paying for a site you have closed. The guest records a removed site captured stay in your database, because taking hardware out of a building should not delete the marketing list it built.

Do I have to rebuild the splash page for every site?

No. Build a design once and copy it to another venue, then change only what differs: the venue name, the offer, the background. Copies are deliberately independent rather than linked to a master template, which is the safer behaviour for a group: a seasonal change at one site can never silently rewrite the splash page at another.

Can I give a site manager access to only their venue?

Yes. Access is granted per venue, and it is separate from who pays for the site, so a manager can be given their own location while head office keeps the group view, and moving a venue between managers never touches your subscription. Everything they see, from the guest list to analytics, is filtered to the venues they can access.

Can my team sign in with Google, Microsoft or Apple?

Yes. The sign-in page has Continue with Google, Continue with Microsoft and Continue with Apple buttons. Click one, pick the account that uses the same email address as the CaptiFi account, and you are in. Google covers Gmail and Google Workspace mailboxes, Microsoft covers Microsoft 365 work accounts and personal Outlook.com accounts. The first time, CaptiFi asks for the CaptiFi password once to link the provider; two-step verification still applies, the password keeps working, and team members can use the buttons too once their invite is accepted.

CaptiFi is a guest WiFi marketing and captive portal platform for restaurants, bars, pubs, cafes, hotels, gyms, salons, retail and short-term rentals, built by CaptiFi Ltd in the UK and sold in GBP, USD, EUR, CAD, AUD and NZD to venues worldwide.

How it works

How to run guest WiFi across several locations

1

Add your first venue, then the rest

One location is included on every plan. On Essentials and above, add each additional venue from My Venues and your subscription is reconciled straight away, so you only ever pay for the sites you have.

2

Set each venue's own timezone

Pick the venue's local timezone when you create it. Busiest hour, the footfall heatmap and the peak occupancy moment then read in local time, which matters as soon as you cross a timezone.

3

Build one splash design and copy it across

Design the first venue's splash page, then copy it to the others and change only what differs. Copies stay independent, so a change at one site never rewrites another.

4

Give each manager their own venue

Invite your team and grant access per venue. A site manager sees their location, head office sees the group, and access is separate from who pays for the site.

5

Report on one venue or all of them

Use the venue picker on any page to switch between a single site and the whole account. On Pro and above, the Top Venues card ranks every location side by side.

6

Market to the group or to one site

Your guest database is shared with a venue column, so a campaign can target every location or just one. The recipient count and the cost are shown per venue before you send.

Shared or per venue

What is shared, and what stays local

The question every group asks first. Marketing and billing are one thing; the building is not.

Shared across the account

Guest database
One list with a venue column. A guest who visits two sites is one person with two visits, which is what makes group-wide marketing work.
Campaigns and automations
Build once and choose which venues an email or text goes to, per campaign. The recipient count and cost are shown per venue before you send.
Audiences and segments
A saved audience can span every venue or target one, and its live count updates as guests arrive.
Billing and plan
One subscription for the account. Locations are a quantity on it, reconciled the moment you add or remove one.

Set per venue

Splash page design
Each venue has its own, and you copy a design across rather than pushing a master. Independent by design, so one site cannot rewrite another.
Timezone
Busiest hour, footfall and peak occupancy read in the venue's own local clock. The all-venues view falls back to UTC and says so.
WiFi hardware and network
Access points, session length, network name and controller connection are per site, so a mixed estate is normal rather than a problem.
Floor plan and zones
Upload each venue's own plan and place its access points, so the heat map reflects that building.
Plans

What multi-venue needs

Essentials and above

Add as many locations as you need. One is included and extras are a flat monthly fee each. Every venue gets its own splash page, hardware and guest capture, and the venue picker switches between them.

Pro and above

Compare venues side by side in the Top Venues ranking, and report on every location at once with the all-venues view. Below Pro the dashboard shows one venue at a time.

Per-location pricing is shown in your own currency on the pricing page.

FAQs

Multi-venue questions answered

How many locations can I manage from one CaptiFi account?
From Essentials up there is no cap. One location is included on every plan, and on Essentials and above each additional location is a flat monthly fee, shown in your own currency on the pricing page. Every location lives under the same login, so guests, campaigns and reporting stay in one place however many you add.
Can I compare my locations against each other?
Yes, on the Pro plan and above. The Top Venues card ranks every location by visits for the period you have selected, and the venue picker has an "All venues" option so the whole account reports as one. Below Pro the dashboard shows one venue at a time, chosen with the picker.
Do I have to build a splash page for every venue?
No. Build a design once and copy it to another venue, then change only what differs, such as the venue name, the offer or the background. Copies are independent by design: editing the original does not rewrite the copies, so a seasonal change at one site cannot silently alter another.
Do venues in different countries report in their own time?
Yes. Each venue carries its own timezone, and busiest hour, the footfall heatmap and the peak occupancy moment all read in that venue's local clock. Viewing all venues together falls back to UTC, because there is no single local time to use, and the chart says so.
Is the guest list shared across locations?
You get one guest database with a venue column, so a guest who visits two of your sites is one person with two visits rather than two contacts. That is what makes group-wide marketing work, and you can still filter or export by venue whenever you need a single site.
Can staff be limited to one venue?
Yes. Team members are invited per account and access is granted per venue, so a site manager sees their own location while head office sees everything. Access is separate from billing ownership, so moving a venue between managers does not touch your subscription.
What happens to a venue if I remove it?
Your per-location fee is reconciled straight away, so removing a site stops the charge for it. The guest records it captured stay in your database, marked to that venue, so removing hardware from a site never deletes the marketing list it built.
Included in your plan

One dashboard for the group, with a flat price per extra venue

The multi-venue dashboard and group analytics are on the Pro plan, and every additional venue is one flat fee on top of the plan. The extra-venue price is on the pricing page in your currency.

Multi-Venue Management is included from Pro at £149/month or £119/month billed annually

CaptiFi completely changed my business. Before, every guest was a one-time booking. Now I have a direct line to thousands of people who've stayed in the plane. I can offer them return deals, send updates about new features, and keep them engaged. My repeat booking rate went from almost zero to 35%. It's been incredible.
