Meet Capi, the helper that shows you where to click
Capi is the CaptiFi bird in the corner of your dashboard. Ask it how to cap guest speed, change a splash page or give a colleague their own login, and it answers from the CaptiFi help guides, then lights up the real buttons one at a time while you click them. Ask how many guests came in last week and it has the figures too. Growth plan and above.

Hi, I'm Capi! I know my way round CaptiFi. Ask me anything, or tell me what you're trying to do and I'll show you where to click.
What is Capi?
Capi is the AI helper built into the CaptiFi dashboard at my.captifi.io. Ask it how to do something, such as limit guest speed or change a splash page, and it answers from the CaptiFi help guides, then walks you through the real buttons one at a time. It also gives guest totals for a day, a week or a month, and you make every change yourself. Growth plan and above, on computers and tablets.
It's the little bird in the bottom right corner of my.captifi.io, the dashboard venues use to run their CaptiFi guest WiFi, splash pages, guest data, marketing and rewards. Ask it something in your own words (how do I limit guest speed, where do I change the splash page, how many guests came last week) and it answers in a few sentences, from the help guides and from what it knows about your own account.
Then it can show you: press Show me step by step and Capi opens the right page, dims the rest and lights up the next button to press, one at a time, until the job's done. You do the clicking, and Capi pops up with a cheery done message at the end.
Updated October 2026. Read the Capi guide for every button, limit and setting.

Five questions, and how Capi answers
Here's Capi at work in the Capi panel. Each step is a question venues often ask, with the answer Capi gives and the buttons that come with it. Press a question to stay on it.
It plays by itself. Press a step to stay on it, and press it again to carry on.Press each step to see it. Sample venues, answers and figures.
Say hello. Click the bird at the bottom right of any page. On a fresh chat Capi says hello and suggests a few questions to start you off.
How do I limit guest speed? Capi reads the help guides, names each button in bold and checks the venue's WiFi system, then offers to walk you through it, open the page or show you the guide.
How many guests came last week? With several venues, Capi asks which one (or uses the venue picked in the switcher), then gives that week's totals beside the week before. All venues together comes with Pro and Enterprise.
A login for my manager. Step-by-step help for the jobs you do most, from inviting a colleague to exporting your guest list.
A QR code for the tables. The answer comes with the button that does the job, here Take me to QR Generator.
A free coffee for members. From rewards to campaigns to vouchers, Capi gets you to the right form and tells you what goes in it.
Before, and with CaptiFi
Before
A new manager wants guest speed capped before quiz night, and whoever set CaptiFi up is off for the evening. The answer is in the help guides, on one of many pages, and then there is the right button to find on the right screen.
With CaptiFi
They ask Capi. It reads the guides, checks the venue's WiFi system and answers in a few sentences, with the button names in bold. Show me step by step lights up each button in turn while they click, and for questions the guides leave open, Ask the team opens a support ticket with the question and Capi's answer filled in.
What you get
Answers how-to questions from the CaptiFi help guides in a few sentences, with the buttons and menus named in bold exactly as they appear
Show me step by step walkthroughs for 11 common tasks: the page dims, the next button lights up and Capi waits while you click it
Guest numbers when you ask: sign-ins, unique, new and returning guests and marketing opt-ins for a day, a week or a month, with the period before for comparison
Knows which WiFi system each venue runs on, and tells you up front which settings that hardware applies
You make every change, and Capi shows the pages and walkthroughs your plan and your login can open
For questions the guides leave open, Ask the team opens a support ticket with your question and Capi's answer already filled in
See Capi in the dashboard
A short answer, and the buttons that do the job
Ask in your own words and Capi answers in a few sentences, with every button and menu named in bold exactly as it appears on screen. Underneath sit the buttons: a walkthrough, the page itself, the guide it read, or a ticket for the team.
- Steps taken from the CaptiFi help guides
- Checked against the WiFi system at your venue
- Thumbs up or down to say how it went
Open it from any page
The round button with the bird sits bottom right on every page of my.captifi.io. Click it and the panel opens down the right-hand side, over whatever you were looking at, so you keep your place. The first time, Capi says hello and suggests a few questions to start with. Come back within a day and it picks up the last conversation where you left it.
- Also under Help, then Ask Capi, in the sidebar, and as the Ask Capi row in the search bar
- The Setup guide sits in the same panel, just under the title
- New chat at the top starts again from a clean slate
Show me step by step
Press Show me step by step under an answer and Capi opens the right page, dims everything else and lights up the one control you need next, with a card beside it saying what to do. You click the real switch or type in the real box. Capi watches for the step to finish, then moves the light on to the next one.
- Step 2 of 5 on the card, so you always know how far through you are
- Back, Skip for optional steps, Next after typing in a box, and Stop (Escape does the same)
- Written steps take over when a button is kept for another plan or role
Finished when the save goes through
The last step ends when the change saves, here when the Edit venue window closes on Save changes. A short card in the corner confirms it and the page is yours again.
- Asks Which venue? first when the task is for one of several venues
- Offers the walkthroughs your plan and your team permissions can open
What can you ask Capi?
More or less anything about running CaptiFi, in your own words; describe it the way you'd tell a colleague. Most questions fall into one of three kinds.
How do I...?
How to do something in the dashboard. Capi searches the help guides, reads the right section and gives you the steps with the buttons named, then offers a walkthrough when there is one.
- How do I limit guest speed on the wifi?
- Can I change the welcome message guests see before they connect?
- How do I give my manager their own login?
How many...?
Guest numbers for a venue, or for all of them together on Pro and Enterprise, worked out from your own sign-ins in the venue's time zone.
- How many guests came last week?
- How many people used the WiFi today compared with yesterday?
- How many guests opted in to marketing this month across all my venues?
Set up my WiFi
Getting your hardware connected. Capi knows the WiFi system at your venues and tells you which settings your hardware applies.
- How do I connect my UniFi controller?
- How do I set up TP-Link Omada with the splash page?
- My CaptiFi WiFi box has arrived, what do I do with it?

Walkthroughs that light up the real buttons
A walkthrough dims the page and lights up the button or box to use next, with a card beside it saying what to do. You click the real thing, and once that step is done the next one lights up. Here's the guest speed one, start to finish.
It plays by itself. Press a step to stay on it, and press it again to carry on.Press each step to see it. Sample venue and speeds.
Switch on Limit guest bandwidth. Show me step by step opens Edit venue for The Crown, dims everything else and lights up the one switch you need. You click it yourself.
Type the download speed. Once the switch is on, the light moves to the next box. Type the top download speed for each guest in Mbps, then press Next or click away.
Then the upload speed. The same again for upload. Back on the card returns to the step before whenever that step can be done again.
Skip the optional extras. The data allowance is optional, so the card offers Skip, and guests keep unlimited data.
Save changes. The last step ends when the window closes on Save changes, so Capi knows the change has saved.
Done. A short card in the corner confirms it, Capi gives a little hop, and the page is yours again.
The eleven walkthroughs
Capi offers the ones your plan and your login can open. Adding a venue and creating an API key are for the account owner, printing a WiFi QR code is open to everyone, and the rest follow your team permissions. Vouchers, Paid WiFi and Rewards walkthroughs appear once those features are switched on for your account.
- Limit guest speed Cap each guest's download and upload speed at a venue, with an optional data allowance per session. Starts on: My Venues, Edit venue
- Add a venue Pick the WiFi hardware at the new venue, then name it and check its type and time zone. Starts on: My Venues, account owner
- Change a splash page Takes you to Edit splash on the venue you choose, which opens the splash builder for the logo, colours, wording, fields and pictures. Starts on: My Venues
- Invite a team member Your colleague's email, a role that fills in the permissions, the venues they can see, then Send invitation. Starts on: Team
- Export guests Download your guest list as a spreadsheet with Export all (CSV). Starts on: Guest Visits
- Send an email campaign New campaign, a name you'll spot later (June quiz night, say), then on to choosing the audience. Starts on: Campaigns
- Create WiFi vouchers Choose the venue, how many codes and how long each one lasts, then Generate. Starts on: WiFi Vouchers
- Sell WiFi passes Add the passes guests can buy, with how long each lasts and its price. Data and speed limits are optional. Starts on: Paid WiFi
- Create a rewards offer A name for your team, the headline guests see and the kind of offer, saved as a draft until you activate it. Starts on: Rewards, Offers
- Print a WiFi QR code Download a PDF poster with the QR code guests scan to join the WiFi, ready to print. Starts on: QR Generator
- Create an API key Name the key after the system that will use it, create it, and copy it straight away while it is on screen. Starts on: API keys, account owner
On the card
Step 2 of 5 shows how far through you are. Back goes to the step before where it can be done again, Skip passes an optional step, Next moves on after you've typed in a box, and Stop ends it. Escape does the same as Stop.
Always a way through
When a button is kept for another plan or role, or the page is slow to load, Capi lifts the dim and switches to the steps written out, so you finish by hand.
When it's done
Capi pops up in the corner with a short done message once the task saves, such as Done! Guests at The Crown are now capped.
Short answers, with up to four buttons underneath
Capi keeps its answers to a few sentences and lets the buttons under them do the rest. CaptiFi checks each button before it reaches you, so every one opens a page, a guide or a walkthrough your login can use.
Show me step by step
Starts the walkthrough for the task. When the task is for one venue and you have several, Capi asks which venue first.
Take me to
Opens the page Capi means and points to it in the sidebar, so you learn where it lives for next time.
Read the guide
Opens the exact help guide section Capi used, in a new tab, when you want the full detail.
Ask the team
Opens a support ticket with your question and Capi's answer already filled in, ready for you to add detail and send.
Under each answer there's also a thumbs up and a thumbs down, so you can tell us how it went.
How many came in, in one question
Ask how last week went and Capi answers with the figure, the venue and the dates it covers, plus the week before if you'd like the comparison. It counts from your own WiFi sign-ins, midnight to midnight in the venue's own time zone (UK time when you ask about venues in different time zones at once), with weeks starting on Monday.
You can ask about today, yesterday, this week so far, last week, the last 7 days, this month so far, last month or the last 30 days, each against the period before. On Growth the figures are for one venue at a time, the same as the dashboard; on Pro and Enterprise, All venues gives the total for every one.
Capi gives totals, so guests' names, emails and phone numbers stay in your guest list. Team members get the numbers once they hold the View guest data permission.
Last week, The Crown had 140 unique guests and 234 sign-ins. That's well up on the week before!
Sample figures.
| Figure | What it counts |
|---|---|
| Sign-ins | Guest WiFi sign-ins in the period, the Visits figure on your dashboard |
| Unique guests | Different guests who signed in during the period |
| New guests | Guests who signed in exactly once during the period |
| Returning guests | Guests who signed in more than once during the period |
| Marketing opt-ins | Different guests who signed in during the period and accepted marketing |
Made for more than one venue
When the answer depends on the venue (its guest numbers, its WiFi hardware or its guest speed settings), Capi asks Which venue? and lists your venues in the chat, with a search box once you have lots of them. Pick one and Capi sticks with it for the rest of the conversation, until you start a New chat.
With a venue already picked in the switcher at the top of the dashboard, Capi uses that one straight away. Questions that are the same everywhere, such as how to change a splash page or what your plan includes, get an answer at once, and a walkthrough for one venue asks which venue when you press the button.
Running a group? The multi-venue dashboard is where the cross-venue reports live.
What Capi knows, and how you stay in charge
What it reads
- The CaptiFi help guides at docs.captifi.io. Capi searches them and reads the relevant section before it answers a how-to question, and picks up changes to the guides every hour.
- Your account: your venues, the WiFi system and time zone at each (the first 25 on a very large account, plus the one picked in the switcher), their guest speed settings, your plan, and your role and team permissions.
- The page you're on and the venue picked in the switcher, so the answer fits where you are.
- Your guest totals, when you ask for numbers and your login can see guest data.
You stay in charge
- You make every change. Capi points the way and you click.
- Guest figures come as totals, so names, emails and phone numbers stay in your guest list.
- Answers come from the help guides, and for anything they leave open, Ask the team puts your question in front of a person.
- Every button is checked first, so each one opens something your login can use.
Conversations are kept for 90 days. How CaptiFi looks after guest data generally is on the GDPR compliance page.
A helpful regular who knows where everything is
Capi is the CaptiFi bird. In your dashboard it's the bird from the CaptiFi logo, and on this page it's in 3D, in the same colours. Ask it anything about your dashboard and it gets you to the right place, then hands you the button.
- Warm, quick and a little cheeky
- British English, in a few short sentences
- Straight to the answer, then the buttons
- One bird pun a chat at most, saved for the cheerful moments
How to ask Capi a question in the CaptiFi dashboard
- Open Capi. Sign in to my.captifi.io on a computer or tablet and click the round Capi button with the bird, bottom right of any page. Help, then Ask Capi, in the sidebar opens it as well.
- Ask your question. Type it in the box at the bottom of the panel and click Send, or pick one of the suggested questions. You can also type a question in the search bar at the top of the dashboard and choose the Ask Capi row under the results.
- Pick a venue when Capi asks. When the answer depends on one venue and you have several, Capi asks Which venue? and lists them in the chat. With a venue already picked in the switcher at the top of the dashboard, Capi uses that one straight away.
- Use the buttons under the answer. Show me step by step starts a walkthrough, Take me to opens the page in question, Read the guide opens the help guide section Capi used, and Ask the team opens a support ticket with your question and the answer filled in.
- Follow the walkthrough. The page dims and the next button or box lights up, with a card beside it saying what to do. Click the real button yourself. When that step is done the next one lights up, and Capi says so when the task is finished.
- Say whether it helped. Use the thumbs up or thumbs down under an answer. New chat, at the top of the panel, starts a fresh conversation.
The first time, Capi suggests a few questions to start with. Come back within a day and it picks up your last conversation. Working through the Setup guide? That's in the same panel, just under the title.
Good to know
- 30 questions a day for each account, shared by everyone on it and fresh every midnight UK time.
- If Capi says it's busy, give it a moment and ask again.
- On computers and tablets. Turn a small tablet such as an iPad mini sideways.
- Included with Growth, Pro and Enterprise (compare plans).
How venues use Capi
A pub on quiz night
The manager wants guest speed capped before the quiz team starts streaming, and the owner is out. They ask Capi, press Show me step by step and click through five steps on Edit venue without ringing the owner.
A hotel group on a Monday
The group marketing lead, on Pro, asks how many guests opted in to marketing this month across all venues, then for the week before at one hotel, and has both figures before the meeting starts.
A new cafe getting set up
The Setup guide sits in the same panel as Capi. When the CaptiFi box arrives, the owner asks what to do with it and gets the steps from the setup guides, then carries on down the checklist.
A growing team
A supervisor who looks after the team asks how to give the bar staff a login for redeeming rewards. Capi explains the Redeem only role and walks them through Invite a team member.
Capi, and the people behind it
CaptiFi promises a human who answers, and Capi works alongside them. It takes the quick how-to questions, and when the guides leave one open, it adds Ask the team, which opens a support ticket with your question and Capi's answer already in it, ready for you to add any detail and send.
On white-label dashboards
For partners who run CaptiFi under their own brand, the helper is called Assistant and shows the partner's logo or a plain chat icon in place of the CaptiFi bird. It works the same way, with the help guide links left out, since the guides carry CaptiFi's name.

CaptiFi completely changed my business. Before, every guest was a one-time booking. Now I have a direct line to thousands of people who've stayed in the plane. I can offer them return deals, send updates about new features, and keep them engaged. My repeat booking rate went from almost zero to 35%. It's been incredible.
