What is Table Bookings?
Table Bookings gives each venue a booking page at app.captifi.io/book/your-venue and the same form for your own website. Guests book from the times with room and get a confirmation with a link to change or cancel. Deposits are paid online into your venue's Stripe account, with no CaptiFi fee. Staff run the day from a diary, and bookers who join your WiFi are marked arrived. Growth plan and above.
What CaptiFi does about itA venue that takes bookings through a third party keeps its diary in one system and its guest list in another. The person who booked last month is a stranger to your WiFi marketing when they walk in, nobody knows whether a party turned up until a member of staff marks it, and a table held for a party that never comes is a table you could have sold.
CaptiFi puts the booking page inside the platform that already holds your guest list. Availability comes from the services, covers and turn times you set, every booker joins your guests with marketing consent only when they ticked the box, and each booking is also a reservation. What is CaptiFi Table bookings?
Table bookings is the reservations module built into the guest WiFi platform. Every venue on your account gets a public booking page at app.captifi.io/book/your-venue, and one line of code puts the same form on its own website. A guest picks a party size, a date and a time from the times that still have room, gives their name, email address and mobile number, and receives a confirmation email with a link to change or cancel the booking. A deposit per cover can be taken online when the table is booked. Your team runs the day from a diary, marking parties arrived, seated and completed, recording no-shows and cancellations, and taking bookings on the phone or at the desk beside the ones guests made themselves. Where do guests book?
On the venue's page at app.captifi.io/book/your-venue, in the form on your own website, or from a link in the After connecting promotion on your WiFi splash page. The page offers only the times with room for that party, on the venue's own clock, and never shows how many covers are left. A party above the largest you take online is offered an enquiry form instead.
What does Table bookings cost?
Table bookings is included on the Growth plan and above. The confirmation, booking changed, reminder and cancellation emails are the booking's own messages and count against nothing. With texts switched on, the confirmation and the reminder also go as texts to a guest who gave a mobile number, using your SMS credits at the usual rate. Deposits are paid into your venue's own Stripe account, and CaptiFi takes no fee on them.

How to take table bookings with CaptiFi
Switch Table bookings on
The account owner opens Integrations in the dashboard and switches on the Table bookings card under Dashboard features. A Bookings group appears in the sidebar with Diary, Bookings, Enquiries, Reports and Bookings settings. Table bookings is included on the Growth plan and above.
Add your services
Under Bookings settings, pick the venue and add a service for each window you take bookings in, Dinner every day from 17:30 to 22:00 for example, with the covers a slot holds. Set how often times are offered, the party sizes guests can book online, the lead time, the last booking before close, how far ahead guests can book and the turn time for each party size. Areas, tables and closed days are optional. The venue needs its time zone set under My Locations first, because every time is worked out on the venue's own clock.
Set your deposit terms
Deposits are optional. In the Deposits card the account holder chooses Charged when the booking is made, the deposit per cover, the smallest party it applies to and how many hours before the booking a guest can cancel for a full refund. A deposit needs the venue's Stripe account connected and the booking fee terms accepted under Events settings.
Publish the booking page
Choose the page address after app.captifi.io/book/, add an introduction and a note for the confirmation, switch Page is live on and save. The settings page then shows the page address with a Copy link button and the one line of code that puts the same form on your own website.
Guests book
A guest picks a party size, a date and a time from the times with room, and the table is held for ten minutes while they give their name, email address and mobile number. A party your deposit terms cover pays by card, Apple Pay or Google Pay before the booking is confirmed. The confirmation email arrives with a link to change or cancel the booking and a calendar file. A party above your online maximum sends an enquiry instead.
Run the day from the diary
The diary shows one day for one venue, grouped by service, with the day's bookings, covers, arrivals, no-shows and cancellations across the top. Mark a party arrived, seated or completed, record a no-show or cancel, and take a booking on the phone, at the desk or as a walk-in with New booking.
Let the WiFi mark arrivals
Every 15 minutes CaptiFi compares confirmed bookings against connections to the venue WiFi. A booker whose email address or mobile number connects during the booking window is marked arrived, a booking with no match when the window closes is marked a no-show, and staff can reverse either from the diary.

Your booking page and website form
The page address starts as your venue name and sits after app.captifi.io/book/. The page is white, with your splash page's logo, font and button colours, and it follows the language the guest's browser asks for where the venue offers it: English, French or Spanish. Add an introduction, your own marketing consent wording beside an unticked box, and a note for the confirmation about parking, dress code or how to find you. Once the page is live, Bookings settings shows its address with a Copy link button and the one line of code that puts the same form on your website. Each booking records where it came from: Booking page, Website embed, WiFi splash, On the phone, At the desk or Walk-in.
Availability from your services
A service is a window you take bookings in: Lunch on Mondays from 12:00 to 15:00, Dinner every day from 17:30 to 22:00, or a Late service that runs past midnight. Each holds a number of covers a slot and, if you like, a cap on parties a slot and the areas it serves. Set whether times are offered every 15 or 30 minutes, the party sizes guests can book online, the lead time, the last booking before close, how far ahead guests can book, and turn times by party size, 90 minutes for a couple, 120 for up to six and 150 above that to begin with. A closed day or a one-day cover limit never cancels a booking already taken; the diary shows the time as over capacity and the cap applies to new bookings.
A ten-minute hold while the guest books
When a guest taps a time, the table is held for them for ten minutes while they give their details, and the page counts the time down. Change time hands the time back at once, and so does leaving the page. A time that filled up as they tapped is refused with a reason. A second booking at the same venue on the same date with the same contact details is refused too, with a line pointing the guest to the confirmation of their first.
The diary
One venue, one day, grouped by service in time order, with the day's Bookings, Covers, Arrived, No-shows and Cancelled across the top. Each row shows the time, the guest and their contact details, any area, table or occasion, the party, the status and the reference, and the moves it can make: Arrived, Seated, Completed, No-show and Cancel, each confirmed first. Today is on the venue's clock, the day and the venue sit in the page address so a day can be bookmarked, and a closure or an over-capacity time is called out above the groups.
Phone, desk and walk-in bookings
New booking on the diary takes a booking On the phone, At the desk for later, or as a Walk-in seated now. Staff bookings can be any party size and are not held to the online party bounds, the lead time or the booking window; they are still held to closures, the last booking cut-off and the covers. The time list holds only the times with room for the party, each with its service and the covers left. Guest details are optional: a booking with an email address gets the confirmation, and one with an email address or mobile number can be matched from your WiFi. The guest never sees staff notes.
Arrivals from your WiFi
Every 15 minutes CaptiFi compares confirmed bookings against connections to the venue WiFi. A booker whose email address or mobile number connects during the booking window is marked Arrived, with the history reading seen on the venue WiFi. The window opens 30 minutes before the booked time and closes an hour after the party's turn time ends, and a booking with no match by then is marked No-show, which staff can reverse if the party turned up late. Because every booking is a reservation, the Attended a booking segment condition, the attended-only rule on Google review requests, the When a booking turns up trigger and the reservation.attended webhook read bookers too.
What your guests receive
The confirmation goes the moment a booking is confirmed, headed Your table is booked, with when, where, the party, the reference, the area and occasion when set, Deposit paid when one was charged, your note, a Manage your booking button and a calendar file. A booking changed email follows any change to the time, party or area, a reminder goes at the hours before you set, 24 to begin with and up to 336, and a cancellation email goes when a booking is cancelled by the guest or by staff. Every message is in the language the guest booked in, on the venue's clock, and needs no marketing consent. From their own page the guest can change the party size, date or time within the same rules, cancel, add the booking to their calendar and ask for the confirmation again.
Enquiries and private hire
A party above your online maximum sends an enquiry from the booking page, emailed to the address you set and listed under Bookings, Enquiries, with new enquiries first. Mark one Replied once you have answered the guest, keep a Note of what was agreed for the team, Close one you will not book, or click Book it: the form opens with the enquiry's party and date, lists the times with room, and the guest's details come across to the booking with the confirmation emailed as usual. A guest planning a party can add the space they want, an end time, the type of event and a budget, and Book as a private hire blocks the areas you choose, or the whole venue, for the hours booked.
Tables, table QR codes and event nights
Switch on table allocation for a venue and every booking sits on a real table that seats the party, with joinable tables in one area pushed together for larger groups and no table given to two bookings at once; staff move a party with Move table in the diary. Each table can carry a QR code, and a seated guest who scans it holds the table for 90 minutes unless you set another length, while the table comes off your booking page. An event can open its own booking window as well, so its event page shows Book a table beside the tickets and every booking that night carries the event's name.
Reports and export
Reports show Bookings, Covers booked, Covers arrived, No-shows, No-show rate and Cancelled for a period of up to 366 days, for one venue or all of them, then break the period down By day, By service and by Where bookings came from. Export CSV downloads the bookings in the period with the reference, status, venue, date, times, party, service, area, table, guest, contact details, occasion, source, consent, arrival, no-show and cancellation stamps, the deposit with its currency and the booking time, written so a spreadsheet cannot run a cell as a formula. The export is for the account holder, an admin, or a team member with Export data and View guest data.
Deposits paid online when the table is booked
Deposits are optional and set one venue at a time in the Deposits card on Bookings settings, which only the account holder can change. Choose Charged when the booking is made, the deposit per cover, the smallest party it applies to (leave it empty for every party) and how many hours before the booking a guest can cancel for a full refund. A deposit needs the venue's Stripe account connected and the booking fee terms accepted under Events settings, the same setup that sells tickets.
How the guest pays
A party your terms cover sees Continue to payment in place of Confirm booking. The payment page on app.captifi.io shows the amount, the time the table is held until and your cancellation terms, and the guest pays by card, Apple Pay or Google Pay. The booking is confirmed once the payment goes through, and the confirmation says Deposit paid. A guest who does not pay before the hold ends loses the time and is charged nothing, and a payment that arrives after the hold has ended is refunded in full.
Cancellations and no-shows
A guest who cancels from their own page before your free cancellation line gets the deposit back, and the refund starts straight away. A later cancellation keeps it, and so does a no-show. With no free cancellation hours set, a guest who cancels any time before the booking gets it back. The hours in force when the guest booked are the ones that apply to their booking, even if you change them later. When staff cancel from the diary the deposit is kept and the guest's email asks them to contact you about it.
Refunds and where each deposit stands
Only the account holder can refund a deposit, in full or in part, from the booking's page. The money goes back to the card the guest paid with, out of your Stripe balance, and the guest is emailed. Each booking shows its deposit as Awaiting payment, Paid, Part refunded, Refunded or Not paid, with every refund and any card dispute listed, and the deposit and its currency are columns in the CSV export.
The smallest deposit per cover, by currency
Deposits are paid into your venue's Stripe account in the venue's currency, and CaptiFi takes no fee on a deposit. Stripe has a smallest card payment in each currency, so the deposit per cover must be at least that amount: $0.50 in USD, and the figure for each of the six currencies is below.

While a venue cannot take a deposit online, for example before its Stripe account is ready, the party sizes your terms cover are greyed out on the booking page and those guests are pointed to the enquiry form. Parties below the deposit line book as usual.
Bookers in the emails and texts you already send
With Table bookings on, your bookers plug into the same tools as your WiFi guests. Four triggers start email and text automations from a booking, seven merge tags put the booking into any message, two segment conditions pick bookers out, and five webhook events push each change to your own systems. The four triggers go only to bookers who ticked the marketing box, or whose guest record at the venue already carried marketing consent for the same email address. The booker's own confirmation, reminder and cancellation notice are the booking's messages and go whatever the guest chose.

Each trigger is available on email automations and on text automations, and each text automation comes with a ready-made message. On the Pro plan and above, Workflows adds seven booking starts, from Booking made to Last booked a while ago, and three booking recipes: Booking reminder, Win back a cancelled booking and After a no-show.

In a text the same seven tags are written in single braces, and the composer prices each at its longest, so the credits shown are the most a text can cost. On a table booking automation the tags fill in from the booking the message is about; in a campaign or any other automation they fill in from the guest's most recent confirmed table booking at the venue, and a guest with no booking gets them empty.
Segment conditions
The segment builder gains Booked a table, at any venue, at one venue or within the last N days, matching guests with a confirmed table booking; cancelled bookings do not count. Table booking no-shows is a count, so 0 picks guests who have never missed a booking and 2 or more picks repeat no-shows. A guest is matched to a booking by the email address or the mobile number they booked with.
Webhook events
Endpoints on your Webhooks page can subscribe to booking.created, booking.amended, booking.cancelled, booking.attended and booking.no_show. Each carries the booking's reference, status, venue, party size, times with the venue's offset, area, source, the booker's details and consent, a deposit block with its amounts and currency, and every lifecycle stamp with how it was marked. It never carries the guest's manage link or token, nor the guest's or your staff's notes.
One dining room or a group of venues
A restaurant with two services
Lunch from 12:00 to 15:00 and Dinner from 17:30 to 22:00, each with its own covers a slot. The page offers 30-minute times, a couple holds a table for 90 minutes and a party of six for two hours, and the last booking is 90 minutes before close. The diary shows each service as its own group, with its bookings and covers in the heading.
A busy Saturday with deposits
Set a deposit per cover for parties of six and above, with free cancellation up to 48 hours before. A party of eight pays when it books and is confirmed once the payment goes through; a couple books as usual with no payment. If the party of eight cancels the day before, or does not turn up, the deposit stays in your Stripe account.
A group of venues
Food halls, event spaces and pubs on one account, each with its own booking page, services, areas, closures and deposit terms, set up one venue at a time on Bookings settings and each on its own clock. The diary shows one venue for one day; on the Pro plan and above the bookings list and the enquiries show every venue at once, and reports run for one venue or all of them. A campaign to guests who Booked a table can be for any venue or one venue.
Private hire and large parties
Set the largest party you take online and every party above it becomes an enquiry to the address you choose, listed under Enquiries for whoever handles them. A guest planning a company night can give the space, the end time, the type of event and a budget, and Book as a private hire blocks the areas you choose, or the whole venue, for the hours booked, up to 48 hours. Any booking the hire overlaps is listed for your team to move.
Reviews from the parties that came
Because every booking is a reservation, the Only ask guests with an attended reservation rule on Google review requests holds the request until the party was seen on the WiFi or marked arrived. A When a booked party does not turn up automation can send a sorry we missed you message to a no-show instead, and a Table booking no-shows count of 0 in the segment builder sends your next offer only to guests who have never missed a booking.
Gig nights with tables
Give a Friday gig its own booking window, 19:00 to 23:30 in the main room with its own covers a slot, while the terrace keeps its normal dinner times. The event page shows Book a table beside the tickets, and every booking that night carries the event's name into the diary, the bookings list and the guest's emails. Tickets and tables stay separate purchases.
Who can do what
The account holder can do everything. A team member needs View guest data to see the Bookings pages, because a booking carries the guest's name, email address and phone number, and Manage table bookings to take, amend and cancel bookings, run the diary, handle enquiries and change services, areas, tables and closures. Manage table bookings sits in the Operations group and is included in the Manager and Operations roles. A member with View guest data alone reads every page and is told, where the buttons would be, that the permission is needed. Export data is needed for the CSV. Switching the feature on or off, the deposit terms and refunding a deposit stay with the account holder.
Data retention and erasure
Guest notes routinely hold allergy and access needs, so they are emptied 90 days after the booking ended. The booker's name, email address, phone number, occasion, notes and manage link are erased 24 months after the booking ended, whatever its status, and an enquiry's details 24 months after the date it asked for. The booking itself stays in your lists and reports, with any deposit amounts, and the guest shown as Anonymised. Deleting or anonymising a guest under GDPR erases their details from every booking and enquiry they made at the same time, and a scrubbed booking is never emailed or texted again.

Every booking appears on the Reservations page with Table booking as its source, beside the reservations you import, so Reservation check-in and its WiFi matching cover both. Table bookings sits beside Events and ticketing, on the same Growth plan, which sells tickets from a public events page per venue, uses the same Stripe connection your deposits are paid through, and puts every buyer in the same guest list your bookers join. The four booking triggers live in Automated marketing and SMS marketing, and the attended-only rule in Review automation reads bookers too.

Table bookings ships inside Growth beside events, rewards, email marketing, review requests and SMS. The booking page, the diary, enquiries, reports and the guest emails cost nothing extra, and CaptiFi takes no fee on a deposit. A separate booking system such as Access Collins Evo is priced per site, per month, on top of whatever runs the WiFi.
