What does the Square POS integration do?

The Square POS integration is a native CaptiFi connector, shipped in July 2026. You paste a Square access token from the Square Developer Console into the CaptiFi Integrations page, a job of about two minutes, and CaptiFi detects your main Square location automatically. From that moment, every WiFi guest who opts in to marketing on your splash page is pushed into your Square Customer Directory with their name and email, plus their phone number and birthday when your splash form collects them, and added to a "CaptiFi WiFi Guests" customer group you can target with Square Marketing.

The connection runs both ways. CaptiFi syncs your Square orders every 15 minutes and matches spend back to WiFi guests, either through the Square customer record attached to the sale at the till or by matching the email on the order to the email captured at sign-in. That powers the Square Spend Dashboard in CaptiFi: matched revenue, match rate, a weekly trend, top spenders with VIP badges, lapsed-guest filters, one-click win-back email segments and a CSV export.

Venues connect Square because the till already knows what people spend, but it cannot tell you who your WiFi guests are or reach the browsers who never pay. CaptiFi joins the two lists, and it does so safely: the integration is read-only on orders, so CaptiFi never takes payments or edits anything in your Square account. It works with any Square account, with no Square Marketing or Loyalty subscription required for the sync itself.

Create an access token in Square

Open the Square Developer Console, create an application if you do not have one, and copy its access token. Square's console walks you through it in about two minutes.

Paste it into CaptiFi

On the Integrations page in your CaptiFi dashboard, paste the token into the Square card and save. CaptiFi detects your main Square location automatically, with nothing else to configure.

Watch guests appear in your directory

Opted-in WiFi guests appear in your Square Customer Directory within minutes of signing in, complete with name, email and any phone or birthday your splash form collects, grouped under "CaptiFi WiFi Guests".

Frequently asked questions

Is the Square POS integration native or does it use Zapier?
It is native as of July 2026. Earlier, the documented route between CaptiFi and Square was Zapier, but that is no longer needed. You paste a Square access token into the CaptiFi Integrations page, CaptiFi detects your main Square location automatically, and the sync runs directly between the two platforms with no Zapier account, no Zaps and no task limits.
What does CaptiFi send to Square?
Only guests who opt in to marketing on your splash page are sent. Each opted-in guest is created in your Square Customer Directory with their name and email, plus their phone number and birthday when your splash form collects them, and added to the "CaptiFi WiFi Guests" customer group. Guests who decline the marketing opt-in are never pushed to Square.
How does spend matching work?
CaptiFi syncs your Square orders every 15 minutes. An order is matched to a WiFi guest either through the Square customer record attached to the sale at the till, or by matching the email on the order to the email the guest entered at WiFi sign-in. Matched spend then feeds the Square Spend Dashboard: matched revenue, match rate, weekly trend, top spenders and lapsed-guest filters.
Can CaptiFi change anything in my Square account?
No. The integration is read-only on orders: CaptiFi never takes payments, never edits items, prices or transactions, and never changes your Square settings. The only things it creates are customer profiles for opted-in guests and the "CaptiFi WiFi Guests" customer group they sit in.
Do I need Square Marketing or Square Loyalty?
No. The integration works with any Square account, and the guest push and order sync require no Square Marketing or Loyalty subscription. Square Marketing only comes into play if you want to send campaigns to the "CaptiFi WiFi Guests" group from inside Square; you can just as easily use the win-back segments and CSV export in CaptiFi with your own email tool.
Is the integration GDPR compliant?
Guest consent is central to how it works. Only guests who opt in to marketing on the splash page are pushed to Square, and their consent state is carried with their record. Order data flows one way, from Square into CaptiFi, for matching only, and CaptiFi never writes anything back beyond the customer profile and group. That keeps your Square directory permission-based and your campaigns aligned with GDPR and PECR.
