HubSpot + CaptiFi

Create a HubSpot Contact for each WiFi guest who accepts marketing, matched by email so regulars never duplicate. Native, set up per venue. 30-day free trial.

Overview

What does the HubSpot integration do?

HubSpot is a native CaptiFi connector on the Growth plan and above. Paste a HubSpot private app token into the HubSpot card on my.captifi.io, switch the venue on, and each WiFi guest who accepts marketing is created as a HubSpot Contact with their email, name and the lead status New. A guest already in HubSpot is updated by email, so repeat visits never create duplicates, and guests who decline marketing are never sent.

The HubSpot integration is a native CaptiFi connector. Each venue connects its own HubSpot account with a private app access token, pasted into the HubSpot card on the Integrations page of my.captifi.io, and from then on every guest who signs in to that venue's WiFi with an email address and accepts marketing is sent to HubSpot as a Contact. The sync runs on CaptiFi's servers in a queued job, so the Contact appears shortly after the guest connects, and a brief HubSpot outage is retried automatically.

Each Contact carries the guest's email address, first and last name, and the lead status New. HubSpot identifies Contacts by email, so when a guest who is already in your CRM signs in again, CaptiFi updates that Contact instead of creating a second one. Ticket buyers who accept marketing at checkout on your CaptiFi events page are sent the same way.

Guests who decline marketing on the splash page are never sent, so everyone the integration adds to HubSpot has agreed to marketing from the venue. Once the contacts are in HubSpot, your own lists, workflows and sequences can pick them up. The integration is included on the Growth plan and above, and a 30-day free trial started on Growth or Pro includes it.

What you get

Why connect HubSpot to CaptiFi

Guests become HubSpot Contacts

Every WiFi guest who accepts marketing is created as a Contact in the HubSpot account you connect, with no exports, list uploads or Zapier account in between.

No duplicates for regulars

Contacts are matched on email address, so a guest who signs in every week updates the same HubSpot Contact each time.

Consent first

Only guests who accept marketing on your splash page are sent, so the contacts your team works from in HubSpot all agreed to hear from you.

One account per venue

Each venue holds its own token and its own on and off switch, so a group can send each site to a different HubSpot account or keep one site out altogether.

In the real world

How venues use HubSpot with CaptiFi

Hotel

A hotel group that runs its direct-booking emails from HubSpot sends every lobby WiFi guest who accepts marketing into its CRM, where a HubSpot workflow welcomes them and offers a rate for their next stay.

Restaurant

A restaurant group with a private dining sales team sees consenting WiFi guests in HubSpot, so an enquiry from someone who has already eaten there lands on a Contact the team recognises.

Coworking

A coworking space treats day-pass visitors who accept marketing as new leads in HubSpot, and the sales team follows up with a membership offer.

FAQs

Frequently asked questions

Is the HubSpot integration live?
Yes. HubSpot is a native connector on the Integrations page of my.captifi.io, connected per venue with a HubSpot private app token. It is included on the Growth plan and above.
What does CaptiFi send to HubSpot?
For each guest who signs in with an email address and accepts marketing, CaptiFi creates a HubSpot Contact with their email, first and last name and the lead status New. Phone numbers, visit history and custom question answers are not sent.
Will repeat guests create duplicate contacts?
No. HubSpot identifies Contacts by email address. When a guest who is already in HubSpot signs in again, CaptiFi updates the existing Contact instead of creating a new one.
Are guests who decline marketing sent to HubSpot?
No. Only guests who accept marketing on your splash page, and ticket buyers who accept it at checkout, are sent to HubSpot.
Does it send guests who signed in before I connected?
No. The integration sends guests as they sign in after you switch the venue on.
Which HubSpot scopes does the token need?
The private app needs crm.objects.contacts.read and crm.objects.contacts.write. CaptiFi uses the token to test the connection and to create and update Contacts.
